How candidate information is handled

This assessment-specific notice explains what Complynce collects, why it is needed, who may receive it, and how candidates can request access or correction.

1. Who is collecting your information

NIMS Edge Pty Ltd (ABN 64 685 052 715), trading as Complynce, collects personal information when you register for or use the Early Learning and Child Care Provider Approval Practice Assessment. Contact us at info@complynce.com.au.

This collection notice should be read with the general Complynce Privacy Policy. It explains the assessment-specific collection at or before the time your information is collected.

2. Information we collect

The information collected depends on how you use the product and may include:

  • Identity and contact details: first and last name, email, phone, state or territory and optional organisation name.
  • Account and consent records: password hash, email verification, login sessions, accepted legal-document versions and marketing preference.
  • Purchase and entitlement records: pack, amount, payment status, Stripe references, access dates and administrative adjustments.
  • Assessment records: assigned test identifier, start and submission times, saved answers, confidence selections, flagged questions, score, domain results and improvement guidance.
  • Technical and security information: timestamps, relevant device or request information, security events and audit history used to operate and protect the service.
  • Support communications: messages and supporting information you provide when requesting assistance or reporting a technical problem.

3. Why we collect it

We collect this information to create and secure your account, verify your email, process purchases, apply fixed access periods, allocate unique tests, save progress, grade submissions, produce result and improvement views, provide support, prevent misuse and maintain an audit trail.

If you separately opt in to marketing, we may also use your contact details to send occasional product or regulatory updates. Marketing consent is optional and can be withdrawn.

4. What happens if you do not provide it

Required identity, contact, account and consent information is necessary to create a candidate account and protect paid assessment access. If it is not provided, we may be unable to register you, verify the account, process access or provide an assessment result.

Organisation name and marketing consent are optional and do not affect eligibility to purchase or use an assessment pack.

5. Disclosures and service providers

We disclose personal information only where reasonably required to provide, secure or administer the service, where you authorise it, or where disclosure is required or permitted by law.

Service providers may process limited information for us under their own security and contractual arrangements.

  • Amazon Web Services for application hosting, databases, file or log infrastructure and operational security.
  • Stripe for checkout, payment confirmation, fraud controls and payment records. Complynce does not store full card details.
  • Resend or another configured email provider for verification, password reset and transactional messages.
  • Professional advisers, security specialists or authorities where reasonably necessary for support, legal obligations, fraud prevention or incident response.

6. Overseas handling

Some service providers may store or process information outside Australia or allow support access from other countries. The countries involved can change with provider infrastructure. We take reasonable steps required by applicable privacy law when using service providers that handle personal information overseas.

7. Results, employers and regulators

Your assessment result is not automatically sent to your employer, organisation, ACECQA or a state or territory regulatory authority. We will only disclose it with your authorisation or where disclosure is otherwise required or permitted by law.

Administrative users authorised by Complynce may access candidate, entitlement, attempt and audit information where reasonably necessary to operate the product, provide support, investigate security issues or correct records.

8. Retention and security

We retain account, purchase, consent, assessment and audit information for as long as reasonably needed for product operation, support, security, financial and legal obligations, dispute handling and legitimate business records. Different record types may have different retention periods.

We use access controls, password hashing, session controls, audit records and infrastructure safeguards designed to protect information. No internet service can guarantee absolute security.

9. Access, correction and complaints

You may request access to or correction of personal information we hold about you by contacting info@complynce.com.au. We may need to verify your identity and may refuse or limit a request where permitted by law, explaining the reason where required.

Privacy complaints can be sent to the same address. We will investigate and respond within a reasonable period. The general Privacy Policy explains further complaint options, including the Office of the Australian Information Commissioner where applicable.
